About the sorting and cataloging of scientific and technological archives

Science and technology archives refer to the scientific and technological documents and materials with preservation value formed by enterprises in their production, scientific research, infrastructure and management activities. The organization of scientific and technological archives should follow the rules of formation of scientific and technological documents and materials, maintain their internal organic connections, and facilitate storage and utilization.


(1) Classification

In order to conform to the nature and characteristics of the enterprise's scientific and technological activities that form the archive box, it is not possible to simply adopt a single classification mode, or mechanically use other units and professional classification methods. Within an enterprise, there should be a comprehensive classification scheme. The classification standards should be consistent and concise. It is not advisable to have too many levels.


The most basic classification methods of science and technology files are as follows:

① Classified by project, mainly applicable to infrastructure files. It is to gather all the files of a single project together, which is convenient to provide and use in complete sets.

② Classified by product type, mainly applicable to product archives. It is within the entire product range of the enterprise, based on each independent product file, and classified by product model level by level, so that it is convenient to provide a complete set of scientific and technological files according to different models of products. This classification method is also applicable to the classification of equipment files.

③ Classified according to scientific research topics, mainly suitable for scientific and technological research archives. It is based on a scientific research topic.

④ Classified according to profession. It is divided according to the different professional nature reflected by the content of science and technology files, and is mainly used for science and technology files with strong specialization, standardization or generalization.

(2) Cataloging

The catalog of scientific and technological archives (the same format as the catalog of archived documents) is registered and compiled based on volumes and books. In fact, it is a roster of archives. Its function is to fix the classification, arrangement order and position of scientific and technological archives for easy statistics and search ,use. It mainly includes a general catalog of scientific and technological archives, a classified catalog, a base map catalog and a catalog of storage units. The general catalog of science and technology archives is a general ledger for the registration of science and technology archives, also called running accounts. The classified catalog of science and technology archives is a catalog for registering case files in strict accordance with the classification and arrangement of science and technology archives. It is a tool to search for science and technology archives directly by category and provide services for users. File numbers mainly include classification numbers (project codes) and file numbers. For example, if there is a file of S.12-11 in the equipment file, the file number meaning is: S stands for the equipment file, 12 stands for the equipment code, and 11 stands for the sequence of the file location after all the files formed by the equipment are arranged in order number.


(3) Title of the case file to be written

The title of the case file should clearly reveal the content of the scientific and technological documents in the case file. The main content of the title of the case file includes the name and code of the project, part of the content, and the name of the material.


(4) Binding

The file can be in two forms, bound and unbound. Regardless of the format used, the scientific and technological documents and materials must be folded into a unified A4 format, and the metal objects must be removed when binding the long-term archives. When the case file is not bound, the scientific and technological documents and materials shall be arranged in an orderly manner in accordance with the order of the catalogue in the case file, and shall be fixed by the part number stamp.
